Position Summary

We are looking for a C-level Executive Assistant with a proven experience in supporting top management, with the ability to multi-task, think and plan ahead while establishing strong relationships within the company.

The person will need to be a responsible, organized self-starter with a keen eye for detail who can work under pressure in a fast-paced environment. She/he must also possess a solid PPT knowledge as well as communication skills. Additionally she/he will support the work of marketing team on projects directed at maximising company profits and developing sales strategies or marketing campaigns. This position will report to the Group CEO and Group HR Director.

Job Duties:

  • Provides leadership to build relationships crucial to the success of the organization, and manages a variety of special projects for the CEO and members of the Executive Committee (ExCo)
  • Provides assistance in arranging complex and detailed travel plans, itineraries, and agendas;
  • Is actively involved in the preparation of Group crucial documents;
  • Supports Group HR Director with specific projects dealing with HR Topics and Communication Projects; 
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO's ability to effectively lead the company;
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures;
  • Assists in coordinating the agenda of senior management team meetings and off-sites, and allstaff meetings;
  • Works collaboratively across departmental functions including strong communications with applicable business partners;
  • Analysis of Marketing questionnaires
  • Writes reports and contributes to prepare company brochures and similar documents;
  • Organizes and host presentations and customer visits;
  • Assists with promotional activities;
  • The person might be in charge of visiting customers/external agencies;
  • Helps to organise market research.

Education and Experience Requirements

  • Bachelor's degree required
  • Strong work tenure: five to 10 years of experience supporting C-Level Executives
  • Experience and interest in internal and external communications
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
  • Ability to treat highly confidential information and possess strong work ethics
  • Able to work independently while being a great teamplayer
  • Good knowledge of market research techniques and databases

 

Travel: From time to time upon needs

Languages: Italian and English native/fluency, Dutch/German/ Portuguese is considered a plus
